Every action approved. Every action logged.
An AI that reads your email and writes to your system of record has to be engineered for trust before anything else. ZUUZ’s agent architecture rests on three commitments: a human approval gate on every action, a verifiable audit trail on every decision, and one intelligence layer. Not a stack of glued-together point tools.
How the pieces fit
Secure connectors in. Approved actions out.
Every stage below (intake, storage, the AI brain, and every write it proposes) sits behind the same secure gateway and the same approval gate.
How it’s built
Three commitments, engineered in
Approval gates on every action
Every customer-facing draft and every CRM write stops at a checkpoint where a rep reviews, edits, and approves. Autonomy accelerates the work; the gate keeps judgment human. You choose where the gates sit as trust builds.
Every action logged
Each action is recorded with its timestamp, source signal, and rationale, which email triggered it, what was extracted, why it was proposed. When a rep edits a draft, the edit is logged alongside the original. For any value in your CRM, you can answer where did this come from?
One layer, six modules
A single intelligence layer runs the same read-decide-write loop across all six modules. The signal that scores a lead is the same signal that later flags its renewal risk. Nothing is re-entered, re-integrated, or lost between tools.
How a single action flows
Read, propose, approve, and record
Signal is read
ZUUZ reads a connected mailbox (Gmail, Outlook, Exchange), Slack, Teams, and documents. Threads you mark sensitive are excluded from processing entirely by keyword filtering.
Action is proposed at the gate
ZUUZ drafts the reply or the CRM write and hands it to a rep to review and approve. Nothing reaches a customer or the record unread.
Approved and recorded
On approval the action executes and is logged with its source and rationale. Manual entries take precedence, so ZUUZ never silently overwrites what a human wrote.
The guardrails
What keeps autonomy in check
- Approval gate. No customer-facing output or CRM write happens without a rep’s review.
- Audit trail. Timestamp, source signal, and rationale on every action, including rep edits.
- Manual precedence. What a human entered wins; both sources appear in the trail, never silently replaced.
- Keyword filtering. Sensitive threads are excluded from processing entirely.
- CRM-agnostic normalization. Signal and write-back normalized across Salesforce, HubSpot, Zoho, Attio, and Pipedrive, with field mappings set at onboarding.
- Portable by design. On-premise deployment for stricter requirements, and if you leave, your CRM keeps everything.
FAQ
Frequently asked questions
Does ZUUZ ever act without human approval?
No. Every customer-facing draft and every CRM write passes a rep’s review and approval first. Every action is logged with its source signal and rationale.
What does the audit trail record?
Timestamp, source (which email or message triggered the action), what was extracted, the action proposed, who approved it, and any edits a rep made to the original suggestion.
Can ZUUZ overwrite data our reps entered manually?
No. Manual entries take precedence, and the audit trail shows both sources, what the rep wrote and what ZUUZ proposed, so nothing is silently replaced.
Can ZUUZ run on-premise?
Yes. For teams with stricter requirements, ZUUZ supports on-premise deployment so data stays inside your own environment, alongside keyword filtering to exclude sensitive threads from processing.
How is ZUUZ's agent architecture different from a chain of point tools?
A chain of point tools passes data between separate products, so signals get re-entered or lost at each handoff. ZUUZ runs one intelligence layer with the same read-decide-write loop across all six modules. The signal that scores a lead is the same signal that later flags its renewal risk. See how it works for the full loop.
Which email, chat and CRM systems does ZUUZ connect to?
ZUUZ reads a connected mailbox (Gmail, Outlook or Exchange), Slack, Teams and documents. It normalizes signals and write-backs across Salesforce, HubSpot, Zoho, Attio and Pipedrive, with field mappings set at onboarding. Browse the full list on the integrations page.
What happens when a rep edits a suggested action before approving it?
The rep's edited version is what executes. The audit trail logs the edit alongside ZUUZ's original suggestion, so you can always see what was proposed, what changed, and who approved it. You choose where the approval gates sit as trust builds.
How does ZUUZ keep sensitive email threads out of processing?
Threads you mark as sensitive are excluded from processing entirely through keyword filtering, so ZUUZ never reads them. Teams with stricter requirements can also choose on-premise deployment. More on our approach is on the security page.
